Back up Assistants from PhoenixAI


On June 10, IT Services upgraded PhoenixAI to add new features and make changes to critical components. As part of this update, current Assistants are no longer compatible and have been deleted. You will need to recreate your Assistants once to ensure functionality. View instructions for recreating Assistants.

Before this update, users should back up their assistants to a personal storage location. When backing up an assistant is desired, please follow the listed steps to preserve the Assistant information:

  1. Navigate to phoenixai.uchicago.edu.
  2. Click on the profile icon in the top right corner.
  3. Select Assistants.
  4. Click on the Assistant you wish to backup.
  5. Open a Word document or a text file.
  6. Copy all of the text fields into this new document, including:
    1. Name this Assistant
    2. Description
    3. Instructions
    4. Conversation starters
  7. Review the uploaded Knowledge and ensure that you still have access to these files.
    1. While you cannot download files from your Assistant, it is helpful to copy and paste that section, as it will preserve full filenames for you, so that you can more easily keep track of what files you need to find and re-upload when you recreate your Assistant. 
    2. This may also be an opportunity to update them, if necessary.
  8. Who Can Access the Assistant? Was this Assistant private to you, or did you enable anyone with the link to access it? 
    1. They will need to be sent a new link when the Assistant is recreated.
  9. Code Interpreter: take note if you checked the box to enable PhoenixAI to analyze all uploaded files to allow the tool to write and execute computer code, generate files, and create visualizations from data.
  10. Logo Image: If you used a logo for your assistant, you may want to note that so you can find the file again, as PhoenixAI will not allow you to export it.

After these steps have been completed, you will be able to recreate your assistant in PhoenixAI as needed when the latest version of PhoenixAI has been released.
