The RightFax service offers two methods for sending faxes: via email and through a web portal. The email method does not require a specific network connection, but you must independently verify the recipient’s fax number. The web portal does not require recipient verification but does require proper login credentials.
The system incorporates security measures; however, it only addresses a subset of technical controls and does not ensure full regulatory compliance. Users handling sensitive data (such as Personally Identifiable Information (PII) or Protected Health Information (PHI)) are responsible for complying with all applicable data protection laws and institutional policies. These may include HIPAA, GDPR, or others, depending on the nature of the data, the data subject’s citizenship, and the geographic locations of the sender and recipient. RightFax via Email
Note: In this section, the bold text represents everything that must be included in an email's "To:" field. The quotation marks and slashes are mandatory for proper formatting. Otherwise, the address will be incorrect and the fax will not be sent.
- Prepare the content of the email as well as any attachments.
- In the To: section of the email, you may include 2 main pieces of information: a fax number and a name.
- The fax is mandatory and must follow the format "/fax=[NUMBER]/"
- In the number, include 9 for outside dialing, 1+area code for dialing outside the campus area code, and 011 for international access followed by the respective country code
- Verify that the number is correct by calling first.
- If a fax tone plays, it is correct.
- If you hear an answering machine or voicemail, try a new number or listen to the voicemail for further faxing instructions.
- The recipient or group name is optional but if it is used, it should be in the format "/name=[NAME]"
- Example 1: On-campus faxing "/name=John/fax=31002" <ucfax@uchicago.edu>
- Example 2: Off-campus faxing "/fax=917735551234" <ucfax@uchicago.edu>
- Example 3: International faxing "/fax=901152554601265" <ucfax@uchicago.edu>
- The server will attempt to send a fax using the given information five times before failing.
- If the fax cannot be sent, you will receive an email notifying you of the error
- Similarly, if the fax is sent successfully, you will receive an email notifying you of the successful fax.
RightFax via Web Portal
Note: To access the web portal, connect to the University of Chicago/University of Chicago Medicine Network or the cVPN.
- Navigate to the OpenText Portal.
- Enter your CNetID or UCMEDID/UCHAD ID in the User ID field. Then select Next.

- Complete the 2FA process if prompted.
- If it is an external message, include 9+1+Area Code+Number
- Otherwise, Number+12345 (internal extension)

- Select Add File to attach the file you want to send.
- Select Send in the bottom-right corner.
- You may check your email for delivery confirmation.
