Contracts Analysis Dashboard


Purpose

The following guide is intended for employees who are looking to view or complete any of the following actions:

· Answer business questions using the Contracts Analysis Dashboard in the Supply Chain Dashboard

Business Questions

· What are the contracts by organization?

· Utilize the Requesting Organization filter to narrow the table to a specified organization

· View the table

· What are the contracts by entity?

· Utilize the Requesting Entity filter to narrow the table to a specified entity

· View the table

· What are the contracts containing sensitive data? (HIPPA, PII, etc.)

· Utilize the FERPA, HIPAA, PII, BAA filters to narrow the table to a specified description

· View the table

· What are the contracts by start/end date?

· Utilize the Start Date and Contract End Date filters to narrow the table to specified start/end dates

· View the table

· What are the contracts by status?

· Utilize the Status Code filter to narrow the table to a specified status

· View the table

Terminology

· Contract Header Description: Contract header is the top-level component in a contract and is used to capture contract information like number, type, parties, business unit, start date, currency etc. Contract Header description incudes further details on the contract header.

· Contract Administrator: The individual responsible for preparing, negotiating, and reviewing University contracts, including sales, purchases, and business partnerships.

· Contract Version: Contract versions are used to track and compare changes between parties, provide a common discussion reference between parties, and to enforce party-level locks to ensure both parties are reviewing the same version of a contract. A contract starts as version one.

· Contract Number: Contract number means the specific number assigned to an agreement by a service provider. This number is detailed in the corresponding contract schedule. The naming convention for a converted contract is Legacy Contract Number-CON Serialized contract Number, an example would be 22140547-Con000681 or 22141425-Con001497.

(X being the contract number from the legacy contract system) is a converted contract.
