Approve/Reject Journal Entries


Purpose

The following guide is intended for a Central/Entity Approver who will complete any of the following actions:

Approve/Reject Journal Entry

  1. Sign into Oracle by selecting Company Single Sign-On.

  1. Select the Bell Icon.

Note: In this example, approval is required by two approvers because two entities are being impacted by the transaction. Check Step 5 for reference.        

  1. Select the Show All.           

  1. Select the Journal Batch Name Hyperlink from the list.

  1. To confirm the appropriateness of the journal:

Note: Journal is assigned to two approvers because entities 600 and 607 are impacted by the transaction. In this example, the journal will only be finalized when both entity financial managers approve the transaction.           

  1. Select Approve or Reject as appropriate.         

  1. Fill in the comments and then Select Submit.

Note: Comments are required for Journal Entries that are Rejected.

Verify the Journal Approval Status.

  1. Sign into Oracle by selecting Company Single Sign-On.      

  1. Select General Accounting.
  2. Select Journals.     

  1. Select the Taskbar.
  2. Select Manage Journal.

  1. Enter the Journal batch name or Journal. Select Search.       

  1. Select the Journal Hyperlink.

  1. Verify the Approval Status changed to Approved.     

  1. View the System Generated Additional Balancing Lines.

Note: Oracle generates automatic Due to/Due from entries when the Entity and/or Fund differs across the transaction.        

  1. Scroll up to Journal Batch. Select Show More.            

  1. Select Action Log to Verify Approvals.  

You have now completed the process to Approve/Reject Journal Entry to the General Ledger.
