In certain circumstances, IT Services does allow individuals to use Grouper Groups to administer permissions for shared calendars in Microsoft 365. However, there are some limitations and requirements.
- The group is to be created in Grouper and MUST be set to sync to Active Directory.
- All members of the group must have a Microsoft 365 mailbox. If not, the users without a mailbox will not be able to access the calendar.
- To prevent permission propagation errors in Microsoft 365, the group must have at least 20 members and no more than 100.
- Only one group can be assigned to a given calendar. The customer requesting the group should specify what level of permissions the group should have on the calendar (i.e., Publishing Editor, Editor, Publishing Author, Author, Reviewer, or Contributor). The most used permission on shared calendars is Editor.
WARNING: Groups should not be assigned Owner permissions on shared calendars. Doing so would allow any person in that group to remove the group itself as Owner; thus, leaving the calendar unmanageable by a user, which will lead to IT Services providing support. - Grouper groups that are synced to Active Directory are hidden in Microsoft 365 by default. Users or departments who desire to use a specific group for calendar permissions must contact IT Services (Windows-Server Team) to unhide the group in Microsoft 365. If a request for a new group is given to IT Services, the Windows Team will unhide the group after it has synchronized so that it may be used for calendar permissions.
Alert! Membership changes in Grouper Groups may take up to 2 hours to fully synchronize to Microsoft 365. Please inform customers of this caveat.
